The Clinical Trials Office has an outstanding opportunity for a Program Operations Specialist to join their team.

About this Opportunity

Reporting to the Health Services Manager (Manager), the Program Operations Specialist (Specialist) serves as the operational lead responsible for the administration and operation of the mobile Translational Research Unit (mTRU) program. This position provides operational oversight of the mTRU program, including intake, staff and resource allocation, capacity management, workflow development, operational reporting, and stakeholder engagement to ensure effective utilization of mTRU services.

The Specialist evaluates program performance through operational analytics, utilization monitoring, and workflow assessments. The position partners closely with investigators, study teams, nursing staff, and leadership to align operational resources with research demand while ensuring high levels of customer service, operational efficiency, and program sustainability.

Key Responsibilities

Program Operations and Capacity Management – 50%

  • Lead operational administration of mTRU program service delivery to ensure optimal utilization of clinical, staffing, and facility resources.
  • Monitor and analyze program demand, scheduling trends, staffing utilization, and operational performance metrics.
  • Develop and maintain capacity management tools and processes to align staffing resources with current and projected service demand.
  • Evaluate workload distribution and identify opportunities to improve efficiency and utilization across program activities.

Program Evaluation and Reporting – 20%

  • Develop, maintain, and distribute operational reports, dashboards, and performance metrics.
  • Analyze program utilization, capacity, service demand, turnaround times, and customer service metrics.
  • Evaluate program effectiveness through performance indicators, operational outcomes, stakeholder feedback, and resource utilization trends.

Client and Stakeholder Relationship Management – 15%

  • Serve as the primary operational liaison for investigators, study teams, sponsors, and other stakeholders utilizing mTRU services.
  • Lead consultations with research teams to assess operational needs and establish service requirements.
  • Build and maintain strong collaborative relationships with clinical research stakeholders across UW Medicine and partner institutions.

Workflow Improvement and Operational Excellence – 15%

  • Evaluate existing workflows to identify inefficiencies, bottlenecks, and process gaps.
  • Lead continuous process improvement initiatives focused on enhancing operational effectiveness and client experience.

Minimum Qualifications

  • Bachelor's degree in Healthcare Administration, Business Administration, Public Administration, Clinical Research, Life Sciences, or related field.
  • Two or more years of progressively responsible experience in healthcare operations, clinical research operations, program administration, business operations, or related field.

Additional Qualifications

  • Demonstrated experience with program administration, workflow analysis, operational reporting, or process improvement.
  • Experience developing and analyzing operational metrics and performance indicators.
  • Strong analytical and problem-solving skills with the ability to translate data into actionable recommendations.
  • Demonstrated ability to manage multiple priorities and projects simultaneously.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong customer service and stakeholder relationship management skills.
  • Proficiency with Microsoft Excel and other analytical and reporting tools.

Preferred Qualifications

  • Four years of progressively responsible experience in healthcare operations, clinical research operations, program administration, business operations, or related field.
  • Experience managing operational programs within an academic medical center, healthcare system, or clinical research organization.
  • Experience with capacity planning, workforce planning, resource allocation, or operational forecasting.
  • Experience developing dashboards, utilization reports, and executive-level presentations.
  • Lean, Six Sigma, process improvement, project management, or operational excellence training.
  • Advanced degree in Healthcare Administration, Business Administration, Public Administration, Clinical Research, or related field.

About the Team

The Clinical Trials Office supports the clinical research mission of UW Medicine by providing multi-service operational support to research teams and helping bring important new therapies to patients in compliance with evolving regulatory requirements. As part of the School of Medicine's Office of Research and Graduate Education, the CTO partners across a broad portfolio of clinical trials to strengthen compliance, support investigators, and advance high-quality research operations.
