About the Role
The Workplace Coordinator is responsible for ensuring that our offices operate efficiently, safely, and in alignment with the company culture. This role combines operational management with a strategic vision of the workspace, leading both functional aspects and the design and well-being of the physical environment.
How will you help us achieve our mission?
Operational Management
- Guarantee the proper day-to-day functioning of our offices.
- Ensure that office supplies are always available and place orders when necessary.
- Coordinate with external suppliers (cleaning, security, catering, etc.) to ensure the proper functioning of services.
- Manage office correspondence, documents, and files.
- Organize and coordinate company meetings, events, and travel.
Budget and Supplier Management
- Prepare and manage the office operating budget.
- Control expenses related to maintenance, services, and supplies.
- Negotiate with suppliers to optimize costs and ensure the best quality of services.
- Automate/optimize workflows and processes to maximize budgets and the office experience.
Onboarding and Employee Experience
- Coordinate the arrival of new employees, managing their workspace and access.
- Ensure a warm and organized welcome experience for every new team member.
Office Design and Maintenance
- Plan and coordinate the layout of workspaces to optimize the use of available area.
- Manage remodeling, renovation, or space adaptation projects according to team needs.
- Supervise preventive and corrective maintenance of facilities, furniture, and infrastructure.
- Ensure compliance with safety, ergonomics, and accessibility regulations in the workspace.
- Propose and execute improvements in the work environment aimed at well-being, productivity, and organizational culture.
- Coordinate with design or architecture teams for large-scale projects, acting as an internal point of contact.
- Manage the inventory of furniture and equipment, ensuring its proper condition and timely replacement.
- Ensure proper use and functioning of conference equipment.
What we are looking for:
- Previous experience in Office Management, Facility Management, or similar roles.
- Knowledge of supplier management and contract administration.
- Basic experience in interior design or office remodeling project management (desirable).
- Proficiency in office tools (Google Workspace or Microsoft 365).
- Ability to work under pressure and manage multiple tasks simultaneously.
