Job Description:
The Enterprise Collaborations Project Manager drives the successful execution of Learning Enterprise's learner-oriented portfolio by providing proactive, centralized project management across initiatives developed in collaboration with ASU schools, colleges and units.
Working closely across Learning Enterprise teams and academic-unit partners, this role maintains visibility across the lifecycle of active learner portfolio priorities and creates the structure needed to keep complex, cross-functional work moving forward from identification and alignment through development and delivery. The Project Manager owns project tracking and coordination, monitors timelines and dependencies, facilitates cross-functional handoffs, surfaces risks and roadblocks, and follows through with the responsible stakeholders to keep work progressing.
The role also builds and improves scalable processes and systems for managing learner-oriented work across Learning Enterprise. As portfolio volume and complexity grow, the Project Manager will help identify recurring operational challenges and contribute to process improvements that strengthen coordination, accountability and visibility across teams.
The role is designed for someone who wants to build broad institutional relationships, develop a deep understanding of how new learning initiatives move from concept to delivery and earn responsibility for increasingly complex, high-impact work.
This role is based at ASU’s Tempe campus. A fingerprint background check is a mandatory step in the hiring process. ASU will not sponsor this position; the applicant must be eligible to work in the U.S. without sponsorship. This is a grant-funded position with funding proposed through an initial two-year period. There may be opportunities for continuation based on the availability of future funding and program needs.
Position Salary Range:
- $70,000-$75,000 per year, depending on experience
Essential Duties:
Portfolio Project Management & Oversight (40%)
Provide centralized project-management support across active learner-oriented portfolio priorities:
- Project Lifecycle Management: Own project plans, timelines, milestones, dependencies, and next steps across multiple concurrent school and college initiatives, maintaining visibility from initial alignment through development and delivery.
- Portfolio Tracking: Maintain the Enterprise Collaborations Airtable and related project-management systems as accurate, current sources of truth for active projects, responsible owners, milestones, risks, and status.
- Progress Monitoring: Proactively monitor project activity and follow up with responsible LE and school/college stakeholders so that milestones, decisions, or deliverables are met on or ahead of time.
- Drive Work Forward: Actively determine what needs to happen next and initiate appropriate follow-up rather than waiting for stakeholders to identify next steps.
- Risk & Roadblock Identification: Identify stalled work, cross-team dependencies, capacity constraints, or unresolved decisions that may affect project progress and surface them to the appropriate project or organizational owner for resolution.
- Status Reporting: Develop clear project and portfolio-level updates that provide LE teams and leadership with visibility into progress, upcoming milestones, and areas requiring attention.
Cross-Functional Coordination & School/College Support (30%)
Coordinate the people, information, and commitments required to move collaborative work forward:
- Cross-Functional Coordination: Coordinate work across Portfolio, Learning Design, Marketing, Operations, Product, Data, and other LE teams to ensure dependencies and handoffs are understood and completed.
- Meeting-to-Action Discipline: Translate discussions into clear decisions, owners, deadlines, and next steps and actively follow through until commitments are completed.
- School/College Coordination: Work with school and college points of contact on project timelines, required inputs, agreements, faculty/SME commitments, and other deliverables needed to advance joint priorities.
- Agreement Management: Coordinate the development, routing, execution, and tracking of Course Development/Delivery Agreements and related project documentation, ensuring required decisions and commitments are captured before work advances.
- Communication & Follow-Through: Provide clear, timely project updates and serve as a reliable coordination point for stakeholders navigating multi-team LE processes.
Process Development & Operational Improvement (20%)
Help strengthen the systems and processes used to execute learner-oriented work at scale:
- Process Improvement: Identify recurring bottlenecks, unclear handoffs, duplicated work, and other process gaps across the portfolio lifecycle and recommend practical improvements.
- Workflow Development: Partner with Enterprise Collaborations, Operations, Portfolio Leads, and functional teams to develop and document standardized workflows, roles, milestones, and handoff expectations.
- Tools & Systems : Improve the use of Airtable and other project-management tools to support consistent tracking, reporting, and organizational visibility.
- Process Documentation : Develop and maintain SOPs, templates, project-management resources, and other documentation that make cross-functional processes easier to understand and execute.
- Continuous Improvement : Use project experience and stakeholder feedback to recommend adjustments that improve efficiency while maintaining strong School/College and internal working relationships. Recognize when a template, tracker, workflow, meeting cadence, dashboard, SOP, or other operating mechanism would solve a recurring problem and take initiative to create or improve it.
Portfolio Reporting & Planning Support (10%)
- Support Enterprise Collaborations and Portfolio Leads in preparing portfolio status reports, leadership updates, and planning materials.
- Maintain visibility into upcoming project milestones and dependencies to support portfolio sequencing and annual planning.
- Synthesize project-level information into clear themes, risks, and operational insights that support leadership decision-making.
- Support special cross-functional initiatives related to school/college portfolio execution and organizational effectiveness.
And other duties as assigned.
Desired Qualifications:
- Demonstrated project management experience coordinating complex projects involving multiple teams, stakeholders, and dependencies.
- Experience managing multiple concurrent projects through defined timelines, milestones, and deliverables.
- Strong organizational skills and demonstrated ability to maintain accurate project documentation and tracking systems.
- Demonstrated ability to identify project risks, anticipate roadblocks, and proactively drive follow-through toward resolution.
- Strong stakeholder-management skills, including the ability to work effectively across teams with differing responsibilities, priorities, and levels of authority.
- Experience documenting decisions, assigning action items, and maintaining accountability for follow-through.
- Strong written communication skills with the ability to synthesize complex project information into clear status updates, summaries, and recommendations.
- Experience developing or improving operational processes, workflows, SOPs, or project-management practices.
- Experience with Airtable, Asana, Smartsheet, Monday.com, Jira, or similar project/workflow management tools.
- Ability to work independently, exercise sound judgment, and determine when issues require escalation.
- Experience working in higher education, complex matrixed organizations, or environments involving distributed decision-making preferred.
- Experience coordinating agreements, approvals, or other multi-stakeholder administrative processes preferred.
- PMP, CAPM, Agile, or other relevant project-management training or certification preferred but not required.
Working Environment:
- Activities are performed in an environmentally controlled office setting, subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work.
- Frequent bending, reaching, lifting, pushing, and pulling up to 25 pounds.
- May be required to perform tasks in the field within and/or across University campuses.
