The Office of Research has an outstanding opportunity for a Shared Research Facilities Assistant Operations Director (Temporary) to join their team.

About this Opportunity

Reporting to the Assistant Vice Provost for Shared Research Facilities, the Shared Research Facilities Assistant Operations Director (Temporary) serves as the primary administrator and business process analyst for the University of Washington's Shared Research Facilities & Resources initiative, which provides researchers access to specialized equipment, facilities, and services across the University. The position is responsible for developing, maintaining, and enhancing a University-wide searchable inventory and catalog of shared research resources, ensuring data quality, standardized asset classification, and accurate representation of research equipment and services available to the UW research community.

Key Responsibilities

  • 40% - Research Resource Data Management and Systems Administration
    • Serve as primary business administrator for the Shared Research Facilities & Resources Directory and Asset Inventory.
    • Manage data collection, validation, entry, maintenance, and quality assurance for research facilities, services, and equipment.
    • Work with facility managers and departmental representatives to establish, update, and maintain resource records.
    • Develop procedures and business rules for ongoing data governance and system administration.
    • Monitor system content to ensure information remains current, accurate, and accessible to users.
    • Coordinate access, permissions, and user support functions related to the resource catalog.
  • 25% - Business Analysis, Asset Classification, and Data Governance
    • Analyze institutional inventory, procurement, and asset-management data to identify research assets eligible for inclusion in the shared research facility program.
    • Work with University partners to develop and maintain standardized nomenclature and classification structures for research equipment and services.
    • Review newly acquired research assets and determine appropriate categorization and metadata standards.
    • Evaluate reporting requirements and translate business needs into data management solutions.
    • Develop data standards that improve searchability, reporting, and resource discoverability.
  • 20% - Stakeholder Engagement and Program Coordination
    • Serve as an Office of Research point of contact for research facilities, departments, Equipment Inventory Office, Procurement Services, MAA, and other campus partners.
    • Consult with stakeholders regarding resource listings, equipment classification, service offerings, and directory requirements.
    • Facilitate onboarding of new facilities and resources into the shared research facility system.
    • Participate in UW and peer-institution networks focused on research infrastructure and shared resources.
    • Local and out-of-state travel as needed to engage with peer-institution facilities, attend meetings, and represent the program.
  • 15% - Outreach, Communications, and Program Promotion
    • Coordinate outreach activities that increase awareness and utilization of shared research facilities.
    • Support shared research facilities fairs, workshops, presentations, promotional events, and other engagement activities.
    • Develop communications materials and website content supporting resource visibility and accessibility.
    • Collaborate with MAA and facility leadership regarding questions related to recharge centers, service offerings, and resource information.
    • Track program metrics and prepare reports demonstrating usage, growth, and impact.

Minimum Qualifications

  • Bachelor's degree in business administration, information systems, public administration, research administration, data analytics, a scientific or technical discipline, or a related field, and two to four years of relevant professional experience; or equivalent combination of education and experience.
